What to Carry in Your Work Bag Every Day: A 12 Item Checklist

Twelve items cover a full working day, and a Ministry of Road Transport and Highways advisory means four vehicle documents no longer have to travel as paper at all.

A work bag needs twelve things and no more: phone, wallet, keys, water bottle and earbuds every single day; laptop, charger, one USB-C cable, power bank and a notebook on working days; a compact umbrella and a thin layer for whatever the weather and the office air-conditioning do to you. Everything else is dead weight you carry for a hundred days to use once. The bigger win is what comes out. Since a Ministry of Road Transport and Highways advisory dated 9 August 2018, and the Standard Operating Procedure that followed in September 2019, your driving licence, registration certificate, insurance certificate and PUC certificate no longer have to travel as paper if the verified copies sit in DigiLocker or mParivahan. That is four documents and one bulky wallet fold gone before you pack anything.

In this article

What should you carry in your work bag every day?

Sort the contents into three tiers and the packing decision takes about fifteen seconds each morning instead of five minutes.

Tier one, the five that never leave the bag:

  1. Phone. Carried on your person, not in the bag, on any crowded commute.
  2. Wallet, slimmed to two cards and about Rs 500 in cash. Cash still settles autos and parking faster than an app.
  3. Keys, on one ring, with a tracker. One ring means one thing to lose instead of three.
  4. Water bottle. The single heaviest item you will carry, and the one worth carrying anyway.
  5. Earbuds, in a case. Loose earbuds are the item most often lost to the bottom of a bag.

Tier two, the five that make a working day work:

  1. Laptop. In a padded sleeve or a bag with a dedicated laptop compartment, never loose against a water bottle.
  2. Charger or adapter. One, kept in the bag permanently, with a second left at your desk.
  3. One USB-C cable that charges everything. Standardising on a single cable removes two or three from most bags immediately.
  4. Power bank. Sized for flights as well as commutes, since Indian carriers cap each battery at 100 Wh.
  5. A pocket notebook and one pen. Faster than unlocking a phone in a meeting.

Tier three, the two that India makes non-negotiable:

  1. A compact umbrella, from June through to the end of the monsoon withdrawal.
  2. A thin folded layer. Not for outside, for inside. Office and metro air-conditioning is the reason most people keep a scarf or a light overshirt permanently in the bag.

What can you legally stop carrying?

This is the fastest weight you will ever lose, and almost no everyday carry list mentions it. On 9 August 2018 the Ministry of Road Transport and Highways told states that a driving licence or registration certificate pulled into DigiLocker or mParivahan is, in the Ministry's own words, "deemed to be legally recognised at par with the original documents" under the Information Technology Act, 2000. A Standard Operating Procedure released in September 2019 widened it, covering registration, insurance, fitness, permit, driving licence and pollution under control certificates in electronic form, and stating that it is now not necessary for people to carry the relevant paper documents.

One condition decides it: the copy has to be the record pulled from the issuing authority into DigiLocker or mParivahan. A photograph in your gallery or a scan in your email is not the same thing and is not what the advisory covers. Ten minutes once, and four documents leave your bag permanently.

Document Paper copy needed? Where the accepted digital copy lives
Driving licence No DigiLocker or mParivahan
Registration certificate (RC) No DigiLocker or mParivahan
Insurance certificate No DigiLocker or mParivahan
Pollution under control (PUC) No DigiLocker or mParivahan
A photo or scan on your phone Not covered Carries no status under the advisory

How do you stop losing cables, cards and earbuds?

Four of the twelve items are small, dark and roughly the same shape: the cable, the earbuds case, a card, the key tracker. In one open compartment they migrate to the bottom, and you dig for them at a ticket gate or a security tray. The fix is not a bigger bag. It is one small case holding all four, so the digging happens inside a 15 by 10 cm space instead of a 17 litre one.

Keep that case in the same pocket every day. The habit does more than the product: your hand learns one location.

How heavy should the whole thing be?

Two numbers matter more than the rest. The first is the water: a full one litre bottle weighs one kilogram, by definition, which makes it heavier than most laptops sold in India and heavier than any of the four bags below, empty. The second is the empty bag, which people almost never count: one that starts at 560 g has spent an eighth of a typical 4 to 5 kg load before anything goes in.

India publishes exactly one official bag weight rule, written for school children, but the maths transfers cleanly to an adult commute: we worked through it in how much should a backpack weigh. If you want a habit instead of a number, empty the bag every Friday evening. Whatever you did not touch all week does not go back in on Monday.

What changes between a light day and a full day?

The twelve item list is one list with a switch in the middle. Tier one, five items, is a day with no laptop: a site visit, a Saturday errand run, a client meeting where you are listening rather than typing. That is a 3 to 4 litre problem, not a 17 litre one, and carrying the big bag anyway is the most common reason people call their commute heavy. Tiers one and two together, ten items, is the standard working day, and that is where a dedicated laptop compartment stops being a nice detail.

Drift Kit 0.25 L 15 x 10 x 2 cm 40 g Organiser only Rs 1,499

Where should each item live inside the bag?

Give every item one address and you stop searching. Four zones cover all twelve.

  • Against your back: the laptop, in its own compartment, flat and vertical. The heaviest flat object belongs closest to your spine, so the load does not lever away from you.
  • Deep in the main compartment: charger, notebook and folded layer. Things you need once or twice a day, not at a gate.
  • Front organiser or quick-access pocket: the small case with cable, earbuds, card and tracker, plus the power bank. Anything a security tray or a ticket gate will ask for.
  • Upright and separate: the water bottle, and the umbrella when it is wet. The one rule worth being strict about is never letting either share a compartment with the laptop.

If you commute by two-wheeler or metro, a rear-access compartment earns its place here: the zip sits against your back while you walk, which means the pocket holding your cards is the one pocket nobody else can reach.

Frequently asked questions

Do I still need to carry my physical driving licence and RC in India?

No, provided the documents have been pulled into DigiLocker or mParivahan. The Ministry of Road Transport and Highways said in August 2018 that records held there are legally recognised at par with the originals, and the September 2019 Standard Operating Procedure extended that to insurance, fitness, permit and PUC certificates, stating that carrying the paper documents is no longer necessary. A photograph or a scan of the certificate does not count.

What should I carry in my bag on a day with no laptop?

Five items: phone, slim wallet, keys, water bottle and earbuds. That is roughly a 3 to 4 litre load, which fits a sling worn across the chest. Carrying a 17 litre backpack for five items is the most common reason a commute feels heavier than it is.

How much should a loaded work bag weigh?

India's only published bag weight rule caps a school bag at 10 per cent of the child's body weight, and the same proportion is a sensible ceiling for an adult. Count the empty bag and the water, because together they are usually the two largest items on the scale. The full breakdown is in our guide to how much a backpack should weigh.

Where should I keep my power bank during the day?

In a front or quick-access pocket, not buried in the main compartment. On a flight it has to stay within reach at your seat rather than in the overhead bin, and Indian carriers cap each battery at 100 Wh. The conversion to mAh and the two battery limit are in our post on power bank rules for Indian flights.

What is the item most people forget?

A thin layer for indoors. People pack for the weather outside, then spend eight hours in air-conditioning set for a room full of machines. A folded scarf or light overshirt weighs almost nothing and lives permanently in the bag.

How do I stop my bag getting heavier every month?

Empty it completely once a week, on a fixed day. Anything you did not use in those five days does not go back in. Bags gain weight through accumulation, never through one decision, so the fix has to recur too.

Twelve items. One bag that fits them.
